I have been a patient of Dr. Mantena for over 8 years and followed her from Nut Tree Smiles to her new venture at this place. Her customer care and her office care regarding treatment previously was great at Nut Tree Smiles. This new place is awful. The staff does not follow-up, they didn’t answer urgent care messages, they are not transparent and upfront about patient responsibility regarding costs. I had an urgent root canal in Sept 2023. The treatment plan moving forward with costs for a $1300 specialty resin crown was not disclosed nor agreed upon prior to my next appt, though they insisted I pay without providing treatment plan paperwork beforehand. I was completely shocked and unprepared to learn at the desk of the demand for payment upon my follow-up visit. Staff was rude and dismissive of my concerns. I had to walk out of the office and insist that I be apprised of costs. I hav never had this happn before in 40 years of dental work. It took months to get a refund for the overcharge from what I paid upfront for the root canal and what the agreed insurance plan rate. The overpayment was only revealed from my due diligence of checking charges with insurance. Wrote an email asking for an explanation and to be involved in my treatment decisions per ADA ethics and standards. Email was never answered. I spent hours researching and calling insurance only to learn that the specialty crown is not typical. It is considered an upgrade. Over 6 weeks later, my treatment plan was finally discussed during a routine scheduled check-up. My insurance reccomended that I request a pre-authorization so that patient costs were established. Still waiting on my pre-authorization from Dec 8 and over 2 months later no follow-up as promised. I called my insuranceto learn that it was issued 3 weeks ago. I called last week and requested a follow -up call. Still no word. I have to find another dentist to deal with this temp filling that was left after they drilled through an existing porcelain crown. I called several times. Communication here is severely deficient. It is actually applalling and so disappointing. They either aren’t staffed appropriately or are incompetent.

Cost transparency should never, ever be an issue or an afterthought. Patients should always be involved with treament choices at the preliminary stages of diagnosis. So disappointed in their client care and follow up. Dr. Mantena is a talented doctor but that doesn’t suffice for subpar patient care. Cost of treatment should always be a factor and full disclosure should be discussed with patients during the diagnosis in order to create a trustworthy patient-doctor relationship. Anything less is unacceptable. I hope this office figures out their staff communication issues. I am at my wits end with this office’s lack of accountablity and care. If you have received treatment here, please check with your insurance with the agreed upon rates. They weren’t transparent in my experience.

Vacaville Dentistry needs to improve their customer service, scheduling, and communication with patients. The dental staff themselves during appointments are fine regarding the dental work. This office changed my appointment times on me twice in a row without asking me if I’m available for the new times and without even informing me that they changed the times on me. They don’t respect that many patients are working professionals who have to rearrange their work schedules to make doctor’s appointments. Never before have I even heard of an office in any industry changing appointment times on patients without even asking or informing them. What’s more, the office staff weren’t even aware that they changed anything on me until I had to prove to them what the correct, actual scheduled times were. They assumed that I didn’t know my own scheduled times, telling me I needed to confirm I’d come at the wrong times. After putting me on hold, both office ladies each time came back to the phone call and admitted what my actual times were, but they weren’t able to keep those appointments for me. When I asked how and why the times got changed without my knowledge, the first lady said the doctor herself change dit on me. The second lady sasid she didn’t know how it got changed.

The second time this happened, the office lady offered a new time and said I’d be the first one seen and that there would be “no wait.” Have you ever heard of an office with no wait? I really needed this appointment, so I was hopeful and believed her. But of course there was a wait. The only reason I was able to reschedule is because I was counting on starting at the actual start time. Another office lady to whom I described the situation showed no understanding, condescendingly telling me that sometimes there’s a wait. Yes, everybody knows that sometimes there’s a wait, but I was told there wouldn’t be at that time, and that’s the only reason I would have been able to fit the new time in. They should have kept the time I scheduled orignally instead of mysteriously changing it. They ha ven’t acknowleged the bigger picture problem of them changing times on me without my consent twice in a row. I hope they will get a better scheduling and communication system and be more considerate of patients.

Please read the reviews before deciding to seek treatment at this facility. I first started orthodontic treatment at this office in June of 2023. I tried over and over to get the office staff to submit my orthotic claim to my insurance and they continually lied stating that they did submit when they never did. Once I filed a grievance with Delta Dental, they finally started to cooperate but were unable to fill the claim form out correctly. Eventually, after numerous incomplete claims by the office, I filled out the claim form by hand myself and had the office sign off. Once the claim was processed, the refund was inadvertently sent to the dental office. Once received, they refused to apply the money towards my balance remaining. The office states that had I went through insurance initially, my contracted price would have been higher therefore, they get to keep the $1,000 insurance benefit and I still owe on my original contracted price. I remind you that the reason it did not go through insurance is because they failed to submit the claim. That $1,000 should be applied to my balance remaining but the office refuses to do so. I have filed yet another complaint with Delta in hopes that they can get this matter resolved. I have tried calling the office and as soon as they hear it’s me their tone immediately changes to unhelpful, disrespectful, and dismissive. I have even called and had the office hang up on me. The front desk staff/office managers Angelica Navarro and Krisalynn DeLuna are very unhelpful and refuse to provide basic information to me like an account summary statement. They constantly try to avoid my questions, and avoid the fact that they received money that does NOT belong to them. I’m not even asking for cash, I am very simply asking for my ortho benefit to be applied to my ortho account and they refuse. I have called and asked that the owner of this location give me a call and again…. Nothing. I am again requesting that owner Dr. Mantena call me to discuss the billing/insurance practices taking place at this facility. I have filed a complaint with Delta Dental as well as the Better Business Bureau. My next complaint will be to the Insurance Board of California.
